Description:Typical Work Week: Average workweek includes 40 hours, Monday – Friday from the Blairsville location. . Interact with external contacts such as visitors, vendors, contractors, and clients. Work closely with internal contracts such as on-site and remote LSI staff from various departments. Position summary: Perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers. Present in a professional manner, with effective communications skills while functioning in a fast-paced, constantly changing environment.
Duties:Major Responsibilities: Primary duties and responsibilities include, but are not limited to, the following: •Use computers, and various software applications including the Microsoft Office Suite to perform functions including preparing and modifying documents such as correspondence, spreadsheets, reports, memos and e-mails. •Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. •Create, maintain, and enter/upload information into databases. •Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material. Retrieval of such information from filing systems. •Operate office equipment, such as multi-function machines, phone systems and arrange for repairs when equipment malfunctions. •Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs; maintain logs as directed. •Maintain scheduling and event calendars for managers and supervisors, which would include scheduling and coordinating meetings and appointments. •Complete forms in accordance with company procedures. •Handle requests for information and data from a variety of internal and external sources in a timely manner. Including resolving administrative issues and inquiries and providing written or electronic responses to such. •Prepare meeting agendas; record, compile, transcribe and distribute meeting minutes. •Retrieve, open sort, copy and distribute incoming correspondence or other printed material. •Coordinate maintenance and appropriate supply inventories for office and office equipment. •Other duties and responsibilities as assigned. Tasks: •Perform general office duties, with minimal supervision, such as filing, answering telephones, and handling routine correspondence and utilization of standard office equipment such as computers, printers, multi-function machines and scanners. •Intermediate personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. Basic proficiency with Microsoft Office including MS Word, Excel, and Outlook. •Provide leadership to others through example and sharing of knowledge/skill. •Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.
Qualifications:Experience, Education and other Requirements: •Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience. •Significant background checks and clearances (including Child Abuse Clearance) along with drug testing requirements. Physical Requirements: •Ability to sit for long periods of time with and walk/stand for short periods of time with breaks. Sedentary physical activity performing non-strenuous daily activities of an administrative nature. •Ability to view monitors approximately half of the time. •Ability to communicate with others, talking and hearing; manual dexterity sufficient to reach and handle items over 2/3 of the time. •General office environment lifting of files up to 10 lbs. under 1/3 of the time. Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Open architecture cubicle environment. •Moderate noise (examples: business office with computers and printers, light traffic). •Minimal overnight travel (up to 10%) by land and/or air.
